These Terms & Conditions apply to all bookings, trips, memberships, events, website use, participant forms, waivers, activities, equipment use, passenger transport, communications, photography, videography and services provided by The Campfire Crew Pty Ltd.

Before you book

These Terms apply to every booking and trip with The Campfire Crew. They explain what we provide, what you are responsible for, how safety decisions are made, how payments and cancellations work, and the rules that protect participants, staff, vehicles, equipment, wildlife, cultural heritage and the environment. By booking, paying, signing required forms, entering a vehicle, using our equipment or joining a trip, you agree to these Terms.

Nothing in these Terms excludes, restricts or modifies any consumer guarantee, right or remedy that cannot lawfully be excluded under the Australian Consumer Law or other applicable legislation.

1. Who we are and what these Terms cover

The Campfire Crew Pty Ltd, trading as The Campfire Crew, operates guided self-drive 4WD tag-along camping tours using company-supplied vehicles, company equipment and a guide-led convoy system. All vehicles used as part of the standard trip are supplied and allocated by The Campfire Crew. Customers do not bring their own vehicles unless we approve an exceptional arrangement in writing before the trip. In these Terms, “we”, “us” and “our” means The Campfire Crew Pty Ltd and its directors, staff, guides, contractors, agents and representatives. “You”, “guest”, “customer”, “participant” and “approved customer-driver” means any person who books, pays for, attends, drives, travels in a vehicle, uses equipment or participates in a Campfire Crew trip.

Our current trips operate to island destinations including Mulgumpin / Moreton Island and Minjerribah / North Stradbroke Island, subject to permits, approvals, ferry availability, campsite bookings, vehicle access rules, weather, tides, track conditions, land-manager directions and operational readiness. If any law, permit condition, ranger direction, ferry operator instruction, police direction, emergency service direction or land-manager requirement is stricter than these Terms, the stricter requirement applies.

2. Eligibility and booking requirements

Our standard trips are for adults aged 18 to 35. Approved customer-drivers must be at least 21, hold a licence valid for driving in Queensland, pass company checks and be approved for that trip. You must be legally able to enter into a contract, physically and mentally able to participate in a 4WD camping environment, able to follow safety instructions, and willing to complete all required forms honestly before departure.

A booking is confirmed only when payment is received, the booking is accepted by us or our booking platform, and required forms, disclosures, eligibility checks and uploads are completed to our satisfaction. We may refuse a booking, refuse participation, refuse driving privileges or remove a person from a trip if we reasonably believe they are unsuitable, unsafe, intoxicated, medically unfit, disruptive, dishonest, aggressive, non-compliant or likely to create risk for themselves, others, vehicles, property, wildlife, cultural heritage or the environment.

3. Prices, inclusions and exclusions

Trip prices are in Australian dollars unless stated otherwise. Prices may vary depending on destination, duration, ferries, campsites, vehicles, fuel, permits, food, staffing, equipment, insurance, booking platform fees, special activities and seasonal costs. The specific trip page states what is included; only those listed inclusions are included.

Every standard tag-along booking includes an allocated passenger seat in a company-supplied trip vehicle. Depending on the trip, other inclusions may include meeting-point transport, campsite bookings, camping equipment, food ingredients for customer self-cooking, drinking water, camp kitchen equipment, convoy leadership, group chat access, games and photography or videography where offered. Permission to drive is not a purchased inclusion and is never guaranteed. Unless stated otherwise, flights, travel insurance, health insurance, ambulance cover, alcohol, cafés, restaurants, takeaway, personal snacks, optional third-party activities, personal clothing, personal medication, personal first aid items and costs caused by lateness, misconduct, damage, fines, intoxication or breach of these Terms are not included.

4. Customer driving, company vehicles and convoy rules

Customers do not need to supply or bring a vehicle. Customer driving is optional, is not included as a guaranteed part of the booking and may be refused or withdrawn at our discretion. You may only drive a Campfire Crew vehicle if we approve you for that trip, you meet the licence and age requirements, you complete the required driver declaration, licence check, safety briefing, assessment and customer-driver agreement, and you remain sober, fit, attentive and compliant. Company staff who drive must hold the required licence, Driver Authorisation where applicable and company role authorisation. Approved customer-drivers may drive company vehicles without Driver Authorisation as part of the guided self-drive tag-along model, subject to company controls, insurance requirements and trip-specific approval.

All vehicles must remain in the nominated convoy order unless staff direct otherwise. Drivers must follow road rules, beach rules, site rules, speed instructions, UHF/radio procedures, regroup points, tide and route decisions, and guide directions. Vehicles must not enter closed, restricted, vegetated, dune, private, culturally sensitive or unauthorised areas. We may refuse or withdraw driving privileges at any time for safety, licensing, conduct, route, vehicle, insurance, permit or operational reasons. You may be responsible for damage, fines, recovery costs, cleaning costs, insurance excesses or third-party claims caused by negligent, reckless, unlawful, intoxicated, dishonest or unauthorised driving.

5. Camping, food and shared equipment

Trips involve outdoor camping in basic, shared and weather-affected conditions. Facilities may be limited, remote, unsealed, sandy, wet, noisy, dark or different from urban services. We may allocate vehicles, seats, tents, swags, sleeping arrangements and campsite layout at our discretion.

Unless stated otherwise, we provide sealed food ingredients and camp kitchen equipment for participants to prepare and cook their own meals. We do not operate as a restaurant, cafe, caterer or food-service venue under the current model, and staff do not ordinarily cook, plate, serve, prepare or repackage meals for participants. You are responsible for deciding what you eat, managing your allergies and dietary needs, cooking your food safely, cleaning shared equipment after use, storing leftovers at your own discretion and following hygiene, fridge, raw-food separation, utensil, cleaning and camp kitchen instructions.

We may provide camping, cooking, water, games, activity, lighting, fridges, tables, chairs, tents, swags, recovery or other equipment. You must use equipment only as instructed and for its intended purpose. You must not modify, overload, dismantle, remove or misuse equipment, and you must not use equipment while intoxicated, medically unfit or instructed not to use it. You may be responsible for reasonable replacement, repair, cleaning or recovery costs if equipment is lost, damaged, misused or not returned due to negligence, recklessness, intoxication or failure to follow instructions.

6. Optional activities and water activity boundaries

Our trips may make locations, equipment or opportunities available for optional activities such as swimming, snorkelling gear use, kayaking, beach games, walking, campfire activities where permitted, social games, music, movie nights, photography, sightseeing and optional third-party activities. These activities are optional and self-directed unless we expressly state otherwise in writing. You choose whether to participate and must assess your own ability, health, confidence, sobriety, fitness, clothing, equipment and comfort before taking part.

We do not provide lifeguard services, swimming lessons, formal kayaking instruction or guided snorkelling unless expressly stated in writing for a specific trip. You must not enter water alone, at night, while intoxicated, while medically unfit, when unsure of conditions, when signage or site rules prohibit it, or after staff have told you not to enter. Water risks may include drowning, currents, tides, waves, submerged objects, marine animals, poor visibility, slips, cuts, sun exposure, cold water and delayed emergency response.

Optional third-party providers operate independently. If you choose a third-party activity, you do so under that provider’s own terms, safety rules, waivers, insurance, pricing and cancellation policy. We are not responsible for third-party acts, omissions, advice, equipment, cancellations, injuries, delays, losses or service quality except where liability cannot lawfully be excluded.

7. Alcohol, drugs, smoking, vaping, fires and gas

We do not sell or supply alcohol. BYO alcohol may be permitted only where lawful and allowed by the trip location, campsite, permit conditions and staff. Responsible drinking does not allow unsafe behaviour. You must not drive, attempt to drive, use water equipment, swim, snorkel, use stoves, use knives, tend fires, supervise safety-critical tasks or take part in any activity requiring sobriety after alcohol or drugs. Illegal drugs are prohibited. If we reasonably believe you are intoxicated, drug affected, unsafe or disruptive, we may remove you from activities, withdraw driving privileges, refuse transport, contact emergency services, arrange alternative transport at your cost or remove you from the trip without refund except where required by law.

Smoking and vaping are allowed only where lawful, site rules permit it and staff approve the location. They are prohibited in vehicles, tents, swags, near fuel, gas, fire-risk areas, non-smoking participants or where fire bans or site rules prohibit them. Cigarette butts, vape waste and related rubbish must be packed out responsibly.

Campfires are never guaranteed. Fires may occur only where lawful, permitted by land managers or campsite rules, not prohibited by fire bans, approved by staff and safe in the conditions. You must not light, move, feed, enlarge or interfere with fires without staff permission. Firewood must not be collected unless expressly permitted; where required it must be purchased or supplied from approved sources. We may cancel or extinguish fires at any time.

8. Environment, wildlife and cultural heritage

You must follow environmental briefings, Leave No Trace principles, guide instructions, park rules, beach-driving rules and land-manager directions. You must not litter, feed wildlife, chase or touch wildlife, leave food scraps accessible to animals, damage vegetation, enter dunes or vegetated areas, create new tracks, remove rocks, shells, plants, timber, artefacts or natural material, contaminate waterways, use soaps or detergents in natural water bodies or dispose of rubbish incorrectly. We aim to leave campsites and stops cleaner than we found them, and participants may be asked to assist with rubbish sweeps, campsite pack-down and waste checks.

Some locations are on or near land and waters of cultural significance. You must comply with Traditional Owner, ranger, land-manager and site instructions. You must not enter restricted cultural areas, photograph or film cultural sites where prohibited, touch or remove cultural material, disturb middens, artefacts, scarred trees, rock markings or heritage features, ignore signage or behave disrespectfully toward Traditional Owners, local communities, cultural sites or place names. If you see something that may be cultural material, do not touch it and notify staff immediately.

9. Health, disclosure, insurance and emergency consent

You must complete all required medical, allergy, dietary, medication, emergency contact, swimming/activity suitability, insurance and driver information honestly before departure, and update us if anything changes. You are responsible for your own health, personal medication, medical devices, allergy management, insurance and decision-making. We cannot guarantee an allergen-free environment. Participants with severe allergies, anaphylaxis risk, complex dietary needs or medical conditions that may be triggered by shared camp environments should obtain medical advice before booking and may be required to bring their own food or medication.

Before attending a Campfire Crew trip, each participant must confirm that they have Medicare or provide private/travel insurance details. A participant using Medicare does not need to provide their Medicare number. A participant using private health insurance, overseas visitor health cover, travel insurance, personal accident cover or other suitable cover must provide the insurer name, emergency assistance phone number and policy or certificate number. Participants remain responsible for medical, ambulance, rescue, evacuation and related costs that are not covered by Medicare or their insurer.

In an emergency, you consent to us providing first aid within staff training and competence, contacting emergency services, activating emergency communications, arranging evacuation, contacting your emergency contact and sharing relevant medical, allergy, medication, insurance and emergency contact information with emergency services, medical providers, insurers, land managers or authorised persons where reasonably necessary for safety, treatment, evacuation, incident management or legal compliance. You are responsible for ambulance, rescue, evacuation, medical, hospital, repatriation, additional accommodation, altered transport and related costs unless the law requires otherwise.

10. Media, privacy and personal information

Photography and videography are part of The Campfire Crew experience. We may capture photos, videos, drone footage, audio, social media content, website content, trip galleries and promotional material during trips. We will use a media consent and opt-out process where reasonably practicable. If you do not want to be identifiable in promotional content, you must tell us before the trip and remind staff during the trip where necessary. We will not knowingly film or photograph toilets, showers, changing areas, medical situations, private sleeping areas or other inappropriate/private contexts. Drone use is subject to law, safety, weather, land-manager approval, privacy, cultural sensitivity and operator judgment.

We collect personal information reasonably necessary for bookings, payments, safety, transport, insurance, emergency response, trip communications, media consent, customer service, incident management and compliance. This may include contact details, age/date of birth, emergency contact, medical and allergy information, dietary information, licence information where driving is involved, payment records, booking history, consent forms, photos, videos and incident records. We handle personal information in accordance with our Privacy Policy and may share necessary information with staff, emergency services, insurers, booking platforms, payment processors, land managers, transport providers, accommodation providers, medical providers or legal advisers where reasonably required.

11. Itinerary changes, weather and cancellations

All itineraries are examples only. We may change, delay, shorten, replace, reroute or cancel any itinerary, activity, route, campsite, stop, vehicle arrangement, meal plan, timing or inclusion due to weather, tides, fire danger, road or beach conditions, campsite availability, permit requirements, safety concerns, participant behaviour, vehicle issues, ferry or transport changes, land-manager directions, emergency service directions, staff availability, environmental or cultural concerns, or operational needs. You are not entitled to a refund merely because the itinerary changes, unless required by law or the change amounts to a cancellation or major failure under applicable consumer law.

We may offer a transfer or credit at our discretion, but this is not guaranteed. We may cancel, postpone or reschedule a trip due to severe weather, unsafe conditions, fire bans, flooding, closures, permit issues, campsite or ferry cancellation, vehicle breakdown, staff illness, insufficient numbers, emergency events, force majeure or operational issues beyond our reasonable control. If we cancel before departure and cannot provide the trip, we will offer a transfer, credit or refund of the trip fee paid to us, subject to your legal rights. We are not responsible for indirect costs such as flights, accommodation, lost wages, visas, travel insurance, personal purchases or other third-party costs unless required by law.

12. Conduct, refusal, removal, damage and costs

You must behave respectfully toward staff, participants, property owners, local communities, rangers, Traditional Owners, other visitors and the public. You must not engage in aggression, threats, bullying, harassment, sexual harassment, discrimination, unsafe behaviour, reckless driving, theft, property damage, excessive intoxication, illegal drug use, refusal to follow instructions, environmental damage, cultural disrespect or behaviour that harms the group experience.

We may refuse service, cancel a booking, remove you from an activity or trip, withdraw driving privileges or deny future bookings if we reasonably believe you create a safety risk, fail to follow instructions, behave aggressively or disrespectfully, are intoxicated or drug affected, breach these Terms, breach site rules or laws, provide false information, damage property, harass or threaten others, endanger the environment, wildlife or cultural heritage, or disrupt the group experience. If you are removed for misconduct or breach, you are responsible for your own return transport and costs, and no refund will be given except where required by law.

To the maximum extent permitted by law, you agree to reimburse or indemnify The Campfire Crew for reasonable losses, costs, claims, expenses, damage or liability caused by your breach of these Terms, breach of site rules or laws, negligent, reckless, unlawful, intoxicated or intentional conduct, damage to vehicles/equipment/property/land/infrastructure, injury to another person, unauthorised driving, misuse of equipment, failure to disclose medical or safety information, or conduct causing recovery, cleaning, repair, evacuation, legal, insurance or third-party costs.

13. Liability, complaints, disputes, governing law and changes

Outdoor trips involve recreational activities with inherent risks, including vehicle accidents, 4WD travel, bogging or recovery, beach driving, rough roads, uneven ground, slips, falls, swimming, drowning, snorkelling, kayaking, marine hazards, wildlife, snakebite, insects, allergic reactions, burns, cooking risks, heat illness, dehydration, sunburn, storms, falling branches, remote or delayed emergency response, property damage, personal injury or death. By participating, you accept these inherent risks and agree to take reasonable care for your own safety and the safety of others.

To the maximum extent permitted by law, we are not liable for loss, damage, injury, delay, expense or inconvenience arising from your failure to follow instructions, negligent/reckless/unlawful/intoxicated behaviour, optional activity choices, undisclosed medical conditions, third-party providers, weather, natural conditions, road/track/beach/water conditions, wildlife, lost or damaged belongings, unauthorised driving, participant misconduct or events outside our reasonable control. Nothing in these Terms excludes liability that cannot lawfully be excluded.

If you have a complaint, contact us promptly with your name, booking details, trip date, description of the issue and any supporting evidence. We will attempt to resolve complaints fairly and within a reasonable time. The parties agree to first attempt informal resolution before commencing legal proceedings, except where urgent legal relief is required. These Terms are governed by the laws of Queensland, Australia. We may update these Terms at any time; the version that applies to your booking is generally the version published or provided at the time of booking, unless a change is required by law, safety, permit conditions, insurance, operational requirements or regulator direction.
